Periods are Closed to ensure new transactions are not posted to a period once you have finalized your accounting. When you close the last period of your fiscal year, ServMan automatically performs the necessary year end calculations and posting. There are no special year end closing processes to run.
NOTE: Unlike many other financial packages, you can reopen accounting periods in ServMan. Simply select the previously closed accounting period you want to open and press it.
Warning: The process of opening accounting periods is very simple, however closing accounting periods is a long process. The same screen is used to both open previous or close new periods. To Close a period, ServMan must run through the GL transaction file to verify all transactions for the period. The larger your company (or the more transactions you have), the longer this process may take. ServMan recommends you close your accounting periods in the evening to avoid system slowdown.
ServMan also allows you to Lock and Unlock accounting periods as well.
Periods are Locked to ensure no new transactions are posted to a period, however there is no financial validation when locking a period. It is simply a quick way to block transactions from affecting the locked period. Use the Lock Accounting Period function (found on the Utilities menu) while you are gathering ancillary information to close the month so that no transactions get posted to that period in error.
