ServMan introduced our Loyalty program in Version C.92.
****(NOTE: This is still in beta testing as of 11/01/16 and documentation may not be complete.)
The loyalty program allows you to specify items that will contribute to a client’s Loyalty points, allows all users to easily see the Loyalty balance for that client, and encourage clients to use those rewards for something additional.
Navigate to Utilities -> Program Settings and Defaults
Click on the Loyalty Program tab and check the box to enable it.
Default Loyalty Type for New Items: - Will set the loyalty type on ALL new items entered into ServMan. Learn more about Loyalty Types HERE.
Loyalty only applies to active contracts: - Checking this checkbox will allow loyalty to only apply to clients with active PM Contracts. If their contract is cancelled for any reason, all loyalty will be lost as well. - This checkbox is still under development. Please contact Cathy Thompson at 704-821-4141 X106 for questions.
Maximum Loyalty Usage - Allows you to enter a maximum amount of Loyalty that will be shown and able to use. If set to 0.00, there is no maximum.
Use Job Group Filter – allows you to select specific job groups to participate in your Loyalty program. NOTE: If this checkbox is checked ONLY JOBS in the included groups can participate. No other jobs or orders with items tied to loyalty will receive points.
Press OK to save your settings.
On page 2 of each item you want to include in your program, select what Loyalty Type this item will be. Choices are Blank or No Loyalty, Dollar Based Loyalty and Percentage based Loyalty
Dollar Based - Loyalty points are calculated on a 1 to 1 basis, so if a part sells for $200, the Loyalty points received will also be $200
Percentage based - Loyalty points are calculated on a percentage of the selling price. Entering in 50.00 in the Percentage box will give $100 points on a $200 item.
Create a NEW item for your techs to put on orders to reduce the retail price and reduce the Loyalty Balance. For more information on setting up items click HERE.
This should be a Non-stock item, with a masked GL Income account, zero cost and a $-1.00 retail price.
On Page 2, default the print flag to Y and set the Loyalty Type to “001 – Dollar Based”. This will ensure that the Loyalty Balance is reduced appropriately.
If you are a Nexstar Member, decide if this is to be a Discount type item or a Revenue Adjustment. Check the appropriate box on the Nexstar tab in the item file and remember to check the Exclude from Tasks checkbox as well.
Enter items in your order detail as usual.
When these orders are completed, invoiced and updated the new loyalty point balance will appear in blue on the order setup screen next to the Opportunity Level dropdown.
Loyalty Balance information will also appear at the top of every client screen next to the branch ad can be seen in Call Tracker and the new order wizards. If there is a spot you think it will be beneficial to see loyalty, please contact Cathy Thompson at 704-821-4141 X106.
As you update invoices containing loyalty items to the client, you will see their Loyalty Balance increase.
Click on any blue Loyalty Balance to be taken directly to the Loyalty Details screen for that client
For each item with Loyalty attached to it that you sell, the appropriate number of points will be added to the clients Loyalty file once the order is invoiced and updated.
Total Loyalty will be listed for each invoice, displaying the Post Date, Job ID, Item Number and description of the item.
Manual Adjustments may also be entered by pressing the Manual Adjustment button at the top of the screen. These adjustments can be either positive or negative and can be tied directly to a job, if desired.
Press the Report button to generate a report of all loyalty for this client.
From the Customer Reports menu, select Loyalty Audit
Select the report options you desire
To see specific accounts only, select or enter an account number in the Specific Accounts area and press Insert.
To remove specific accounts, highlight the account and press Remove.
The report with print the Loyalty Audit for all accounts selected. Each account will be on a new page.
