Managing AP Checks

ServMan provides a checks SmartView, which allows you to search for checks using multiple criteria, in addition to a checks list.
Find a check
Checks SmartView
- Click Checks on the Accounts Payable Navigator.
- Enter your search criteria.
- Press Enter or click Start Search.
Checks list
- Click on Check Register on the Accounts Payable Navigator.
- Select the accounting period the check is in.
- Scroll through the transactions and locate the check.

Check menu shortcuts
ServMan provides a
button on many screens that allows quick and convenient access to frequently used functions. For checks, the menu has the following options:

Write a check
- Click Manual Checks on the Accounts Payable Navigator.
- Select the payee type (vendor or customer) and the payee ID. ServMan automatically populates the payee name and address. What if this information is incorrect?
- Enter the date.
- Select the checking account the check should be written from in the Cash Account field.
- Select or enter items to be paid with the check. For vendors, select the Apply to Invoices tab to pay outstanding invoices or select the Apply to Expenses tab to purchase items with entering a bill. For checks written to a customer, simply enter a description, quantity of 1, and the amount to refund in the price field. Leave the General Ledger account set your Accounts Receivable account when writing a check to a customer.
- Click Print.

Record a handwritten a check
- Click Manual Checks on the Accounts Payable Navigator.

- Enter the check number.
- Enter the date.
- Select the checking account the check should be written from in the Cash Account field.
- Select or enter items to be paid with the check. For checks written to a customer, simply enter a description, quantity of 1, and the amount to refund in the price field. - Click Save.

Void a check

- Click Void Checks on the Accounts Payable Navigator.
- Select the checking account.
- Enter the date the check should be voided.
- Enter the check number.
- Press Enter to verify the check information.
- Repeat steps 4 and 5 to add additional checks.
- Click Void.
- Click Yes.

Delete a check
Not all checks can be deleted. Checks in a closed accounting period or those that have been cleared cannot be deleted.
- Find the check.
- Right-click and select Delete.

Modify a check
You can modify any information on an AP check and reprint the check as long as it is not in a closed or locked accounting period, and the check has not been marked as cleared in the Account Reconciliation screen.
